Client meetings produce more paperwork than almost anything else an adviser does: notes, a summary for the file, a follow-up email, CRM updates and, often, a report. It is no surprise that AI meeting assistants for financial advisers have become one of the busiest corners of advice technology in the UK. Choosing between them is harder, because the products overlap and describe themselves in similar terms.
This overview sets out what each of the main UK options says it does, using the vendors' own pages, seen in October 2026. We make some of the products in this space, so we have tried hard to be even-handed: every claim below is the vendor's own and is linked, and several of these tools do things our apps do not.
Two kinds of meeting tool
It helps to separate two jobs that often get blurred:
- Capture. Recording, transcribing and summarising the meeting. General tools such as Fireflies and Otter do this for any industry.
- Advice work from the meeting. Turning the conversation into advice-specific outputs: fact-find data, suitability letters, CRM updates, vulnerability flags, or a review of how the meeting was run.
Most adviser-specific products do both. Some, like ours, start from a recording held elsewhere and focus on the second job.
The UK adviser-specific options
Aveni Assist
Aveni describes Aveni Assist as an AI assistant built for regulated financial services firms, covering meeting capture and transcription, summaries, CRM updates, branded documents with citations back to the meeting and a chat assistant called Navi. It includes a "Protect" tab that Aveni says flags vulnerability indicators, Consumer Duty gaps and KYC completeness, and it aims to "Automate post-meeting admin and CRM updates". It lists integrations with Xplan, iO and Plannr, and Aveni says it has built its own model for UK financial services, FinLLM.
Saturn
Saturn, a London-based company founded in 2023, says it covers data capture and workflow "From suitability letters to annual reviews", with two-way integrations with back office and other platforms. According to IFA Magazine's report of the launch, Saturn says its Meeting Notes 2.0 recognises tone and intent. Saturn announced a $15M Series A in October 2025.
AdvisoryAI
AdvisoryAI offers several assistants. According to its website, Evie produces meeting notes, and Emma produces suitability reports, annual reviews, fact-finds and LOA pack summaries, working from the firm's existing templates. It lists integrations with Intelliflo, Xplan, Plannr and Curo, and it publishes its prices, which is helpful for buyers.
PlannerPal
According to Intelliflo's partner page, PlannerPal produces branded meeting notes, emails, proposals, reviews and suitability reports, cross-checked against intelliflo data.
intelliflo IQ
Intelliflo's AI suite sits inside intelliflo office and was reported at launch as developed with Multiply. Intelliflo says its Engagement Assistant records meetings, captures key details, produces summaries and suitability reports, and converts handwritten notes, audio and PDFs into structured data. Intelliflo says it can "Reduce your cost-to-serve by up to 85%". For firms already on intelliflo office, working inside the existing system is a clear practical advantage.
Timeline Pennee
Pennee is a chat assistant in Timeline's ecosystem. Timeline says it prepares annual reviews, summarises meeting notes and drafts client communications, with adviser approval.

IFA Tools users also pay separately for their own Claude or ChatGPT account, so add that to any comparison.
General meeting tools
Many firms start with a general recorder. These are not built for advice, but they are widely used:
- Fireflies.ai states SOC 2 Type II and GDPR. Its security FAQ (7 August 2023) says "All your data is stored and processed in the US cloud infrastructure by default", with an Enterprise "Private Storage" option to choose location, and says Fireflies does not use customer data to train its AI model.
- Otter.ai prices in US dollars, with Pro listed at $16.99 per user per month on monthly billing on its pricing page (seen 7 October 2026; discounts may be shown). Its privacy policy (effective 16 June 2026) names "Amazon Web Services, based in the United States" for storage and says Otter uses de-identified recordings and transcriptions to train its AI, with an opt-out.
- Microsoft 365 Copilot is used by firms already on Microsoft 365. Microsoft said UK local inferencing is "expected... by the end of 2026" in an editor's note dated 3 April 2026.
For any recorder, check the storage location and training settings for your plan and include them in your DPIA.
Where Carbon and Asclto fit
Our meeting apps do not record meetings. They connect to Fireflies, where the firm's meetings are already recorded, and do two specific jobs with them.
Carbon turns a meeting into client paperwork: a discovery document, scope of work, client value summary or attitude to risk report, in the firm's house style and branding. It can pull Google Forms questionnaire responses and draft the follow-up email with the document attached. By our estimate, a client document drops from about 2 hours by hand to about 15 minutes.
Asclto reviews how the meeting was run. It measures talk share, open and closed questions, client questions and the longest adviser monologue, reads tone of voice from the audio, scores nine dimensions, and writes a coaching plan with an FCA checklist of what the meeting did and did not evidence. The PDF is an internal record, never shared with the client. By our estimate, a meeting review drops from about an hour to minutes.
What our apps do not do matters as much. They do not integrate with a CRM, and they do not produce suitability letters from the meeting. If direct back office updates are your priority, a platform with named integrations may suit you better.
How to choose
- Start with the job. Notes, CRM updates, client documents and meeting coaching are different jobs, and few firms need every one.
- Check your back office. If you are on intelliflo office, Xplan or Plannr, look at which tools name that integration.
- Map the data. Ask where recordings and outputs are stored, and whether data is used for training. Our article on where client data goes covers this.
- Ask for prices in writing, including any AI costs paid separately.
- Trial on real work. Run the same meeting through each shortlisted tool and compare the outputs.
Frequently asked questions
What is the best AI meeting assistant for UK financial advisers?
There is no single answer. The right tool depends on your back office, the outputs you need and how you want data handled. Shortlist two or three and test them on the same meetings.
Do I need a separate recorder to use Carbon or Asclto?
Yes. Both connect to Fireflies, where your meetings are recorded. Firms already using Fireflies keep using it.
Are AI meeting notes enough for the client file?
Notes help, but the adviser remains responsible for the record. Review every summary before it goes on file, as you would a colleague's notes.
To see a meeting reviewed end to end, look at Asclto and Carbon, or book a demo: twenty minutes on Teams with Adam Booth, on a demo firm, with nothing to prepare.
